Configure item notes at POS

On this page

Item notes let an operator attach a short free-text note to one item in the cart, such as a gift message, a customer’s request, or a handling reminder, and carry it onto the order. Turn it on when the note belongs to a particular line rather than to the whole order.

Item notes are off unless you turn them on. Everything below is set with store variables on the Store record (s_c__Store_Variable__c), so no code change is involved.

Before you start

  • You need edit access to the Store record and the Store Variables related list.
  • POS reads store variables on the next store sync, so plan the change for a quiet period. See manage POS data sync.

Turn on item notes

  1. Open the Store record and go to the Store Variables related list.
  2. Click New.
  3. Enter a Name that makes sense to your organization, such as POS item notes.
  4. Enter pos.cart_item_notes.enabled in Key. Keys are case sensitive.
  5. Enter true in Value. Any other value leaves the feature off.
  6. Save the record.
  7. Sync the register, or wait for the next store sync.

At the register, the detail screen of every cart item now has a Note section with a text box and a character counter, alongside Adjust Price, the fulfillment type, and Pay now.

Rename the field

The section is headed Note unless you give it your own label.

  1. Add a second store variable with the Key pos.cart_item_notes.label.
  2. Set Value to the label you want, such as Special instructions.
  3. Save, then sync the register.

The new label replaces Note on every item detail screen and on the bundle detail screen.

Where the note is stored

Stage Where the note lives
While the item is in the cart Notes on the Cart Item (s_c__Cart_Item__c.s_c__Notes__c)
Once the order is created Notes on the Order Product (OrderItem.s_c__Notes__c), copied from the cart item
On an open order that is resumed and edited Both records are updated together, and clearing the note clears both

Both fields are long text areas. The register caps a note at 500 characters.

The package does not add either field to a page layout. To see notes in Salesforce, add Notes to the Order Product page layout, and to the Cart Item layout if you review carts.

Where the note appears

The note is shown only on the item’s detail screen at the register. It is not shown on the cart line itself, on the Order placed screen, or on the order detail screen, and the shipped receipt and station ticket templates do not print it. To put a note in front of a kitchen or a packer, add it to the template that device prints.

Both drops expose the note as notes.

  • On a receipt template, inside the loop over current_order.items, add a row after the item’s price row:

{%- if item.notes != blank %} row=[" {{ item.notes }}", "", ""] {%- endif %}

  • On a station ticket (fulfillment) template, current_items holds fulfillment items, so reach the order item first:

{% assign order_item = item.order_item %} {% if order_item.notes != blank %}{{ order_item.notes }}{% endif %}

See POS receipt template and POS print templates.

Item notes or order notes

  Order notes Item notes
Where the operator enters it Add notes in the cart or at checkout The Note section on one item’s detail screen
Applies to The whole sale One line, or one bundle
Stored on Customer Notes on the Order (Order.s_c__Customer_Notes_Long__c) Notes on each Order Product
Label variable pos.notes.label pos.cart_item_notes.label

Example

A cellar door sells gift bottles and wants staff to record the message for each one under a label that says what it is for.

Name Key Value
POS item notes pos.cart_item_notes.enabled true
Item note label pos.cart_item_notes.label Gift message

Once the store has synced, add an item at the register and open its detail screen. A Gift message section appears with a 0 / 500 counter, and after a sale the text you enter is on the order product’s Notes field in Salesforce.
